THE ROLE
The Optical assistant is the first point of contact for our customers. The role welcomes the customer into the store, carry out various administrative duties and assist customers in frame and lens selection.
DUTIES
• Communication with clients – Email / WhatsApp queries & answering phone calls
• Quotations and Invoicing
• Explain quotation and or products to patients
• Order jobs from Lab
• Patients follow up – Follow up if patient is happy with service and product.
• Quality check new stock and load onto system
• Medical aid benefit checks
• Receiving patients and ensure that their needs are met
• Offer & prepare refreshments
• Weekly/ Daily job and transaction Postings
• Preparing & Sending Weekly and Monthly reports
• Check Lab orders statutes daily/weekly
• Helping clients choose frames
• Monthly stock take
• Check costing on invoices
• Check invoice according to what product was ordered from lab.
• Quality control jobs back from lab
• Vert jobs back from lab
• Bring any alarming query to manager /owner. This will include, Credits, jobs wrongly ordered, any damaged product or difficult customers etc
• Work on the age analysis on a weekly basis follow up on outstanding payments
• Follow up pending jobs
• Assure practice look and feel is up to the Bril standard
• Assisting customers with making appointments for eye test
• Opening and maintaining patient files
• Ordering of contact lenses, frames and accessories as required
• Query outstanding orders with lab or suppliers
• Goods receiving and goods returning with all the necessary paperwork
• Inter store transfers with relevant paperwork
